Rolling Billing at Active

From 2026, we’re introducing rolling billing: smaller fortnightly payments, no more re-enrolment rushes, and year-round classes for your family.

What is rolling billing?

From 2026, all recreational classes at Active Gymnastics will move to a rolling billing system – the same model we use with our squad classes, and the standard approach used by many gymnastics clubs across Australia.

Instead of paying upfront each term and re-enrolling every 10 weeks, your child will stay continuously enrolled in their class. You’ll pay smaller, fortnightly amounts via direct debit, and your gymnast keeps their spot until you decide it’s time to change.

No more rushing to book when enrolments open. No more worrying about losing your spot or getting separated from friends.

Why rolling billing?

Rolling billing means your child keeps their spot and you pay smaller fortnightly payments instead of one big term fee.

We’ve been running our term-based system for our recreational classes since Active Gymnastics started 13 years ago. Every term, parents tell us about the stress of enrolment day: refreshing the portal, calling reception, trying to coordinate with other families to get their kids in the same class. And every term, we see families accidentally miss the window and lose their spot.

Rolling billing helps to alleviate this stress. Once an athlete is enrolled, they’ll continue to stay in the same group term-on-term. Clubs across the eastern states have been operating under this model for quite a few years, and the feedback they’ve received from their families has been overwhelmingly positive.

What this means for your family

Easier Budgeting

Instead of a single large upfront payment each term, you’ll pay smaller, regular fortnightly amounts. If you prefer to pay in advance, you’ll still be able to pre-pay for up to a quarter’s worth of fees (similar to a term) in advance.

No More Enrolment Rush

This enrolment period will be the last time you’ll need to remember to rebook. Afterwards, you’ll continue to stay enrolled until you choose otherwise, and don’t need to jump on to the portal, call reception or email us to rebook!

Stronger Friendships & Progress

As gymnasts stay with the same group term-on-term, they’re able to builder better friendships and work with the same peer group each term. This model helps to promote better skill development and confidence, and coaches are able to more easily track each athlete’s progress over longer periods to tailor their coaching.

What’s not changing?

There’s no “hidden” changes here. Our leading curriculum, class structure & coaching are all staying the same.

Payment Details

Rolling billing uses fortnightly direct debit, which is the same system we use for our competitive squads. Please see our helpdesk article on how to add a payment method authorised for recurring billing.

Payment Options:

  • Direct Debit (the recommended way to pay, which has a small $0.88 booking fee)
  • Credit/Debit Card (processing fees may apply depending on card network)
  • In person, ahead of the automatic fortnightly billing

Year-Round Gymnastics

Under the new system all programs, except for our Tiny Tumble classes, continue during the school holidays. During consultation with our families and other clubs who’ve implemented similar systems, many families have said they generally only go away for one week over the holidays, if at all.

During the weeks they’re still home, they’ve preferred being able to continue with gymnastics, as it’s a way for their children to continue to have a chance to socialise and work on something they love.

If you do decide to go away, add an absence in our Customer Portal ahead of time, and the system will automatically generate a makeup token for you to use after the class has passed. Makeup tokens can be used to then book into a makeup class when you get back.

Our holiday program still runs as usual, however athletes cannot attend an all-day session and their regular class on the same day, as this would be too many hours for our younger athletes. However, they’re more than welcome to attend an all-day holiday program on another day!

Makeup Tokens

As part of this change, we are also updating our makeup token policy to be more flexible. Between sickness, events & other ongoings, you’ll be able to request up to 12 makeup tokens per membership-year with no questions asked! Simply add the absence into our customer portal a minimum of six-hours before your class.

If an athlete will be away for an extended period of time, or other circumstances come up during the year, please chat with our receptionists, and we’ll find the best way to help out.

Changing Classes & Enrolments

Rolling billing isn’t a lock-in contract. You’re free to transfer classes/days at any point. If a class is fully booked, we can add you to the waitlist, and as other families move around we can transfer their enrolment. If at any point you’d like to cancel your enrolment, we request 2-weeks notice. This can be provided via our Customer Portal, or by getting in touch with our reception.

Frequently Asked Questions

When does rolling billing start?

Rolling billing begins in 2026. Your current 2025 enrolments aren’t affected.

Does this apply to all classes?

All recreational programs will move to rolling billing. Competitive squads already operate this way.

Is this happening at both locations?

Yes, rolling billing will be introduced to both our O’Connor and Jandakot venues.

Can I still pay upfront if I prefer?

Yes, you can pre-pay a quarter in advance if that suits your budgeting. Please contact reception, and we can help arrange for this.

What if a payment fails?

Standard retry processes apply. Reception can help resolve any billing issues. Please note we are charged a fee by the payment processor for invalid/rejected payment methods, which is applied to the account automatically.

Is this going to cost me more?

Whilst we increase our fees each year to align with current costs and CPI, rolling billing does not directly increase your cost. Instead, it simply spreads out one payment over multiple fortnights and reduces the admin required on your side to stay enrolled in gymnastics.

What about public holidays?

Classes which fall on a public holiday will automatically be accounted for in the fees.

What if I’m not sure gymnastics or a class is right for my child?

Rolling billing helps here! Instead of needing to commit to a full term of gymnastics, you can book a fortnight, and if it’s not right for you – there’s no commitment to keep going.

What if my child needs to move into a new level/class?

If your child has progressed to a new level (congratulations!), or needs to change days/classes at any point – please get in touch with reception, and we’ll be able to transfer your child’s enrolment or put them on a waitlist if the preferred class is fully booked.

Can siblings be billed together?

Yes! If you have two gymnasts in the same account, they’ll automatically be billed together.
